Version matters. Update to the latest signed build for the controls below. Feature availability does not mean every regional deployment or legal safeguard has been approved.
Start with permissions
Use an authorized beta account and official signed download. The beta is 18+. Review macOS Screen Recording, Microphone, Accessibility, Files and Notifications permissions before enabling their features. Check work/device policies and exclusions; pause monitoring before opening sensitive sources.
In updated builds, choose Background audio separately in the orb's Privacy section or Settings. It defaults off; turning it off stops capture. Each detected meeting also requires a separate participant-notice/permission acknowledgment before meeting audio starts. The app records your attestation; it neither notifies participants nor independently verifies their permission.
Recording system audio and microphone speech are distinct. Muting laptop speakers does not necessarily prevent system-audio capture. macOS permission does not grant another meeting participant's consent.
Connect Google
- Open the orb control panel, then Integrations, after Debug.
- Choose Google and Add/Connect account. Sign in and review Google's read-only permissions in its own authorization flow.
- Return to adsideō to see account-specific import status. Leave the app running for background import; interrupted work can resume.
- Add other Google accounts separately. Customers do not enter client IDs or secrets.
Testing-mode restrictions and Google verification are developer/publisher responsibilities, not steps customers should perform. Do not purchase access or weaken account security to bypass an OAuth error.
An import count is not proof the content has been added to the Brain or all cross-app features. The current connector provides encrypted local staging. “Insufficient disk space” or a paused import does not mean your original mailbox was erased. Do not delete credentials or cached data as a first troubleshooting step.
Disconnect and delete
Use the account-specific Disconnect control in Integrations to stop import and initiate its credential/cache cleanup. Revoke Google access independently at Google Account connections if needed. Complete pending cleanup when the app reconnects. Your messages remain at Google.
Use available Memory/privacy deletion controls for saved local work. Pausing, Private Mode, sign-out, removing a provider and uninstalling have different consequences. Exports, device backups and shared copies require separate deletion. Ask support@adsideo.ai about server-side account erasure; we cannot remotely erase arbitrary device files.
Meetings and speaker names
Notify participants before capture and obtain required permission. Anonymous voice groups are not verified identities. Selecting a visible name labels an excerpt; it does not prove a voice match or establish ownership of every action mentioned.
Where available, assigning a name without Remember this voice avoids persistent voice enrollment, but still processes personal information. Remembering creates a local identifying voice template for later meetings. Obtain the person's separate lawful consent/authority first. Do not assume checking the box on their behalf is sufficient.
In Meeting speakers, the Remembered view can disable automatic recognition or Forget voice. Forgetting removes the template and associated name links, not the original transcript. Delete meeting evidence separately where needed. Regulated use must wait for verified consent and destruction safeguards.
Review assistance and diagnostics
Read evidence and uncertainty before relying on summaries, speaker names, dates or commitments. Current files/code and source facts remain authoritative. Preview drafts and chosen additions before sending; do not rely on the app alone for consequential decisions.
In updated builds, open the orb's Privacy section to choose whether to share minimal diagnostic reports. It defaults off; turning it off cancels pending uploads. Local exports can contain filtered logs: inspect them before sending. Never send passwords, authorization codes, tokens or unnecessary third-party content. For support, send a minimal description, build/macOS version and only a safe screenshot if needed.
Settings → Privacy → Erase local Memory requires confirmation and deletes local Memory, captured observations, tasks and voice records. It does not close an account, cancel billing, revoke connected providers, delete their caches or erase independent exports/backups.
