Voice Data

Effective October 24, 2026. Separate biometric notice and retention policy.

Separate speaker permission is required. This notice is not a consent form or a release executed by a speaker. A user's attestation is not independent verification, and additional regional/workplace safeguards may be necessary before use.

What voice processing means

Adsideo Inc provides local transcription and speaker grouping. These can process audio and short-lived numerical features to distinguish speech. Optional Remember this voice stores a name-linked template to recognize a returning speaker across meetings on the same Mac/profile. Templates used to identify a person may be biometric identifiers/information even when no raw recording is sent to us.

Assigning a meeting-only text name is different from keeping a reusable template. Neither a participant list nor a user's name selection is proof of identity or the speaker's consent. Recognition can be wrong; it is not authentication, attendance verification, emotion analysis or a basis for employment/eligibility decisions.

Notice and choice before capture

The person whose voice is processed must receive an understandable explanation of the purpose, data, local storage, matching, retention, disclosures, risks and alternatives before processing where required. Obtain a separate affirmative agreement and any required written release from that person or a legally authorized representative. General app terms, meeting attendance and OS/OAuth permissions are not substitutes.

The release flow must record who agreed, the notice version, scope, time, authority and withdrawal route, without collecting unnecessary identity documents. An account owner checking “Remember this voice” for someone else is insufficient evidence of their release. No covert enrollment or automatic renewal is permitted. Without a valid ground, do not collect/use the affected biometric data.

Purpose and permitted use

Purpose: optionally help a user recognize a consenting returning speaker and label that person's meeting contributions. Use only within the authorized profile, meeting scope and consent. Do not sell, lease, trade or monetize voice identities; do not export them to an identity broker, ad network, general-model training system or unrelated service.

No disclosure of templates is authorized by this notice. Any exceptional disclosure must have a lawful basis and meet applicable biometric rules. No broad “business purposes” exception overrides these restrictions.

Retention and destruction

Destroy a reusable template and dependent recognition links at the earliest of: withdrawal, the purpose being satisfied, deletion of the relevant profile/account, or 90 days from the specific enrollment authorization. Renew only with a fresh valid authorization, not merely because the person attends another meeting. This policy does not extend a shorter legal maximum.

Updated controls bind enrollment to a notice version, named subject, release reference, authorization time and expiry. Reusing that reference does not renew expiry. Expired or legacy unauthorized templates cannot match; profile access and active-profile maintenance remove them from the encrypted store. Use Forget voice as soon as permission or purpose ends. The app cannot independently determine when an external purpose or release ends, and cannot erase an offline device or its independent backups remotely.

Forgetting removes the local template and its linked names, not necessarily the meeting transcript or saved report. Those have separate source/deletion rules. Backups, exported records and other inactive profiles need separate handling; do not restore a withdrawn identity from them.

Alternatives and withdrawal

Declining persistent recognition must not prevent use of unrelated app features. Remain unnamed, use an anonymous group or a meeting-only label where lawful. Disable automatic recognition or use Forget voice in the Remembered speakers view. Contact support@adsideo.ai for help. Device-local processing may require action by the device owner; Adsideo Inc cannot erase an arbitrary offline Mac remotely.

Regional requirements can include a separate sensitive-data condition, impact assessment, regulator declaration or written release. Illinois, Texas, Quebec and New Zealand require particular attention; US-state or workplace exceptions must not be assumed. The Privacy Policy provides contact information, requests and complaints.
